How to choose chauffeur and limousine software in the UAE
A UAE chauffeur software checklist covering dispatch visibility, pickup timing, waiting records, driver data, vehicle readiness and implementation costs.
Start with your dispatch team’s daily decisions
List the decisions behind an airport transfer, corporate booking or scheduled chauffeur job: which car and driver can take it, whether they can reach the pickup on time, and who handles a change. Document where job details arrive today and who updates them. A fleet visibility tool and a customer booking platform may have different responsibilities; agree the boundary before selecting software.
Test schedule changes, not just a live map
A map can show a car’s location without showing whether it is ready for another job. Ask the supplier to demonstrate a delayed pickup, an extended current trip and a reassignment. Check where job status comes from, how quickly changes reach dispatch, and which person approves a reassignment. Confirm whether customer notifications or booking changes require another system.
Define what on-time performance means
Agree whether arrival means reaching a pickup zone, driver confirmation or another recorded event. Compare that event with the scheduled pickup time using the correct time zone. Decide how changed bookings and incomplete tracking records are handled. Ask to see the evidence behind an exception so a dispatcher can distinguish a data problem from an operational delay.
Review waiting time and extra stops before billing
Ask how waiting intervals, stops and route changes are linked to the correct job. Check the agreed charging rules in the booking record and how disputes are reviewed. A trip record alone does not prove an extra charge is payable. Confirm whether software produces a review record, an export or an invoicing integration, and who checks it before a customer is charged.
Evaluate driver data and vehicle readiness
Ask which tracker signals support driver behaviour summaries and what happens when a signal is missing. Confirm who can access individual driver records. For readiness, test how service and preparation requirements are considered alongside scheduled work. Review how permissions, exceptions and handovers fit your dispatch process rather than assuming a dashboard automatically manages them.
Compare revenue figures on a consistent basis
Determine whether earnings are based on scheduled jobs, completed jobs, invoiced amounts or received payments. Separate revenue from profit by accounting for relevant vehicle and operating costs. Ask how cancellations and incomplete jobs affect reports. Verify any imported totals against your source records before using a per-driver or per-car figure to make an operational decision.
Agree implementation and support responsibilities
Bring your tracking provider, job system, fleet size and dispatch roles to the evaluation. Confirm supported connections, import requirements, user permissions, training, support arrangements and total costs in writing. If a pilot is offered, agree realistic job scenarios and acceptance criteria. Do not assume airport, booking or payment integrations exist without confirmation.
